Desktop Session Auditing/Recordings User Guide

Tehama offers the capability to audit Desktop sessions both live and via recordings of past sessions.

This audit capability, also referred to as "Recordings", is a Room feature that is enabled for every Tehama Room by default.*

This is a useful capability but it does come with a cost in Desktop performance and availability. When Recordings are enabled in a Room, the Room can support a maximum of 75 concurrent Desktop sessions. When Recordings are disabled, the Room can support up to 200 concurrent Desktop sessions. Room owner organizations are encouraged to contact Tehama Support if they would like assistance in optimizing their Room environment for performance and availability, taking your auditing/recording needs into consideration.

* The "Recordings" Room feature is enabled by default. You can opt to disable the feature for your Room through the Room Settings interface (see the Enable/Disable Recordings section in the Rooms User Guide) or by contacting Tehama Support for assistance.

View live Desktop sessions

Only the Admin user and Org Managers and Room Managers (who are members of the Room) of a Room's connected organization (owner+connected or connected-only) can view a live Desktop session in the Room.

View live Desktop sessions in real time as follows:

  1. Log in to the Tehama Web UI.
  2. Click on the ROOMS tab.
  3. Click on the name of the Room you want to access. You will see the page for the Room.
  4. Click the Room's AUDIT tab.
  5. Click the LIVE SESSIONS sidebar item. A list of all the live sessions will appear.
  6. To play one session:
    - Click the Play Play icon icon to start the live session viewer within the page.
  7. To play one or more sessions:
    - Click in the checkboxes to the left of the session entries. The bottom banner will appear on the page.
    - Click VIEW LIVE SESSIONS in the bottom banner to start the live session viewer(s) within the page.

Click on the Full Screen Full Screen icon icon in a live session viewer to view a session in full screen mode.

View the live recording of a live session from clicking the SESSIONS sidebar item. Recordings of live sessions will have status "In Progress".

View list of Desktop sessions

Only the Admin user and Org Managers and Room Managers (who are members of the Room) of a Room's owner organization or its connected organization (owner+connected or user+owner and connected-only) can view the list of sessions in the Room.

View the list of Desktop sessions in the Room as follows:

  1. Log in to the Tehama Web UI.
  2. Click on the ROOMS tab.
  3. Click on the name of the Room you want to access. You will see the page for the Room.
  4. Click the Room's AUDIT tab.
  5. Click the SESSIONS sidebar item.

View Desktop session recordings

Only the Admin user and Org Managers and Room Managers (who are members of the Room) of a Room's owner organization or its connected organization (owner+connected or user+owner and connected-only) can view recorded sessions in the Room.

Remote session recordings securely capture activity related to the type of work and actions performed on assets in Tehama. For Rooms with the recording option enabled, virtual Desktops are recorded as they are being used. (This is the default behaviour - contact Tehama Support to discuss the Recordings Room feature, or you may enable/disable this feature through the Room Settings interface. See the Enable/Disable Recordings section in the Rooms User Guide for more details.)

View recordings of completed and in progress Desktop sessions in the Room as follows:

  1. Log in to the Tehama Web UI.
  2. Click on the ROOMS tab.
  3. Click on the name of the Room you want to access. You will see the page for the Room.
  4. Click the Room's AUDIT tab.
  5. Click the SESSIONS sidebar item.
  6. Locate the session whose recording you want to view from the list of sessions that appears.
    NOTE: Saved sessions are associated with an ID number.
  7. Play the session:
    - Click the Play Play icon to start viewing the recording within the AUDIT page. (Note: The Play icon is not visible if the session is not being recorded - e.g.: if the Room has the recording option disabled.)
    - Click on the ID number to start viewing the recording within the browser tab. (Note: The ID is not clickable if the session is still in progress.)

Plugins required for Microsoft native browsers:

To view a recorded session in a Windows 10 environment while using an Edge browser:

  1. Install https://tools.google.com/dlpage/webmmf
  2. Install "Web media extensions"
  3. Restart the machine
    User should be able to view recordings using Edge.

You can pause and unpause the recording by mousing over the recording, then clicking the Pause Pause icon icon and then the Play Play icon.

View the recording in full screen mode by mousing over the recording, then clicking the Full Screen Full Screen icon icon.

Download the recording or view it with picture-in-picture mode by mousing over the recording, then clicking the Menu Menu icon icon and selecting the desired menu item.


Delete Desktop session recordings

Only the Admin user of a Room's connected organization (owner+connected or connected-only) can delete session recordings from the Room.

Delete a Desktop session recording as follows:

  1. Log in to the Tehama Web UI.
  2. Click on the ROOMS tab.
  3. Click on the name of the Room you want to access. You will see the page for the Room.
  4. Click the Room's AUDIT tab.
  5. Click the SESSIONS sidebar item.
  6. Locate the session whose recording you want to delete from the list of sessions that appears.
    NOTE: Saved sessions are associated with an ID number.
  7. Select the entry by clicking on the checkbox to the left of the entry. (Select multiple entries for a bulk deletion.)
  8. Click the trash can Delete Recording Icon icon found at the bottom of the page. You will see a DELETE SESSIONS dialog. Click to place a checkmark in the "I Acknowledge" checkbox, then click the DELETE button to proceed.
